Admin Executive
We are looking for a detail-oriented and organised Admin Executive to support the daily administrative and operational functions of our beauty & aesthetics clinic. This role plays a key part in ensuring smooth appointment coordination, accurate treatment records, and proper inventory management.
Our clinic provides professional beauty and aesthetic treatments in a fast-paced, client-focused environment. You will work closely with therapists, consultants, and management to ensure efficient day-to-day operations and a seamless client experience.
Key Responsibilities
Manage daily appointment bookings and scheduling for treatments and consultations
Coordinate with therapists and consultants to confirm treatment timings, room availability, and special requirements
Track and update treatment usage, packages, and client records accurately
Monitor and check inventory stock levels for treatment products, consumables, and supplies
Record stock usage and support replenishment planning to avoid shortages
Prepare and maintain administrative documents, treatment forms, and internal records
Handle general administrative duties such as data entry, filing, and invoice support
Serve as a point of contact for client enquiries via phone, WhatsApp, or email
Support ad-hoc operational and administrative tasks as required
Requirements
Entry-level candidates are welcome to apply
Prior administrative experience is an advantage but not mandatory
Comfortable handling email and digital correspondence professionally
Efficient and confident in using computers for administrative and tracking work
Strong attention to detail, especially in records, inventory, and treatment usage
Able to multitask and work well in a fast-paced clinic environment
Proficient in MS Office; experience with clinic management systems is a plus
Salary & Work Arrangement
Salary: $2,400
Working Hours: Monday to Friday, 9:00am – 6:00pm
